Embezzlement: definition & meaning

What is Embezzlement?

Embezzlement is the fraudulent appropriation or conversion of assets — typically money or property — by a person who has been entrusted with those assets in a position of confidence or responsibility. It is the most common form of occupational fraud, accounting for the majority of asset misappropriation schemes identified by the ACFE. The median loss per embezzlement scheme is $145,000.

Common embezzlement schemes in finance

  • Skimming: intercepting cash or payments before they are recorded in the accounting system
  • Fictitious disbursements: creating fake vendor invoices, payroll entries, or expense claims to divert funds
  • Check tampering: altering, forging, or intercepting company checks
  • Ghost employees: adding fictitious employees to payroll or inflating hours/salaries
  • Vendor fraud: creating ghost vendors and diverting payments to controlled accounts

What enables embezzlement

Embezzlement thrives where one person controls an entire transaction from initiation to recording to reconciliation. The single most effective preventive control is segregation of duties — ensuring no single individual can both initiate and approve a transaction.

Detection approach

The ACFE finds that embezzlement schemes last a median of 12 months before detection. Continuous transaction monitoring — testing 100% of payments, payroll entries, and journal entries — significantly shortens this window by flagging statistical anomalies in real time.
